Managing Your Communications Schedule
The Calendar in the Communicate App is the central hub for viewing and managing your scheduled communications. It provides a visual representation of your communications across various channels and allows for easy adjustments to ensure everything is on track.
1. Layout
The Calendar is organized into rows and columns that represent your communication Channels and the dates of your communications, respectively.
-
Channels:
- Each row in the Calendar corresponds to a different Channel (e.g., Email, Social Media). These rows are labeled above and to the left of each row.
- You can collapse or expand each Channel by clicking on its header. This can help you navigate the Calendar more easily by hiding rows that aren’t immediately needed.
- Communications within each Channel row will inherit the color of the campaign they are associated with, making it easy to visually distinguish between different campaigns.
-
Columns:
- The columns in the Calendar represent dates. Depending on your view, each column can represent either a single week or a single day (more on this in the Week/Day Mode section).
2. Adding and Adjusting Communications
Scheduling and adjusting communications in the Calendar is intuitive and flexible.
-
Adding a Communication:
- Hover over an empty portion of a cell within the Calendar, and a “+” button will appear. Click this button to quickly add a communication for that specific date and Channel.
- Once added, the communication will appear in the color of its associated campaign.
-
Dragging and Dropping Communications:
- You can easily move communications to different dates by dragging and dropping them within the Calendar. This can be done both in Week and Day mode.
- Please note:
- You can only drag communications within the visible columns. To move a communication to a date not currently visible, use the navigation tools to scroll to the desired week or day before moving it.
- Communications cannot be moved to a date outside of their campaign’s date range. If attempted, a warning message will appear, and the communication will remain in its original position.
- If a communication is accidentally dropped in the wrong cell, simply drag it to the correct date.
-
Editing a Communication:
- Clicking on any communication in the Calendar will open a modal where you can view and edit the communication’s details, including content. You can also delete the communication from this modal if necessary.
3. Week & Day Mode
The Calendar offers two viewing modes to help you manage your communications effectively: Week Mode and Day Mode.
-
Week Mode:
- In Week Mode, each column represents a full week (Monday to Sunday), providing a broad overview of your schedule.
- This view displays up to 8 weeks at a time, allowing you to see your communications across multiple weeks.
-
Day Mode:
- In Day Mode, each column represents a single day, offering a more detailed view of your schedule.
- This view displays 7 days at a time, letting you focus on the specific communications scheduled for each day.
- A red dot next to a day or week indicates the current day or week, helping you quickly identify today’s schedule.
-
Switching Modes:
- The Calendar clearly indicates which mode is active through both visual layout changes and a blue circle next to the active mode’s button.
- When switching between Week and Day mode, the Calendar maintains your current position, ensuring that the relevant dates stay in view.
4. Navigation
The navigation tools within the Calendar allow you to easily move forward or backward in time.
-
Date Range Display:
- The center of the navigation bar shows the current date range you are viewing.
-
Scroll Buttons:
- Use the single scroll button to move one column (week or day) at a time. The double scroll button jumps the entire page (8 columns in Week mode, 7 columns in Day mode).
-
Today Button:
- Clicking the “Today” button brings the current day or week into view. This action does not reset any active filters or other settings...it simply refocuses the Calendar on today.
-
Indefinite Scrolling:
- There are no limits on how far you can scroll forward or backward in time, allowing you to plan or review communications across any date range.
5. Filtering
The Calendar includes powerful filtering options to help you focus on specific communications.
-
Filter Dropdown:
- Clicking on the “Filter” button opens a dropdown with three main filtering options: Categories, Channels, and Campaigns.
- Activating a filter will highlight communications that match the filter criteria while graying out all others.
-
Layering Filters:
- You can apply multiple filters simultaneously. For example, you might filter by both a specific Category and a specific Channel, showing only the communications that match both criteria.
-
Active Filters:
- Active filters are displayed next to the dropdown, and the Calendar automatically updates as you turn filters on or off. No manual refresh is needed.
- All communications not matching the active filter will turn light gray, fading into the background but remaining visible.
6. Drafts
Managing drafts within the Calendar helps you control the visibility and status of your communications.
-
Draft Toggle:
- The Drafts toggle is off by default. Turning it on will display all communications currently in draft mode within the Calendar.
- Communications in draft mode are indicated by a gray “Draft” label, and they appear in a lighter shade of their campaign color.
-
Persistence:
- The Drafts toggle resets each time you navigate away from the Calendar and return.
-
Changing Draft Status:
- To change a communication’s status from draft to active (or vice versa), click on the communication to open the details modal and adjust the status.
- The Calendar will automatically update to reflect the change, removing the draft label and changing the color back to the campaign color when a draft is made active.
