Assignments
Delegate work and track progress across your team
Assignments help you distribute campaign and communication work to team members, track progress, and stay organized. When you assign a campaign or communication to someone, they receive a notification and can update their progress as they work. This feature is available on the Plus tier.
1. Understanding Assignments
Assignments let you delegate campaigns and communications to team members. Each campaign or communication can be assigned to one person at a time, so responsibilities are clear.
What can be assigned:
- Campaigns — assign an entire campaign to one team member
- Communications — assign individual communications to team members
Who can create assignments:
- Team members with assignment permissions can assign work to others
- You can always assign work to yourself
When you assign an item, the assignee receives a notification. They can view all their assignments in one place and update progress as they work.
2. Creating Assignments
You can create assignments in several ways, depending on when you want to assign work.
When Creating a Campaign
When creating a new campaign, you can assign it immediately:
- Click "+ New Campaign" or open the campaign creation modal
- Fill in campaign details (title, dates, color, etc.)
- In the Assign field, select a team member from the dropdown
- Click Save to create the campaign and assignment
The selected team member is assigned to the campaign and receives a notification.
When Creating a Communication
When creating a new communication, you can assign it as part of the creation process:
- Click "+ New Communication" or open the communication creation modal
- Fill in communication details (title, date, type, etc.)
- In the Assign field, select a team member from the dropdown
- Click Save to create the communication and assignment
The selected team member is assigned to the communication and receives a notification.
Assigning Existing Items
You can assign campaigns and communications that are already created:
For campaigns:
- Open the campaign view
- Find the Assignment Manager section (usually near the top or bottom of the campaign details)
- Click the Assign dropdown and select a team member
- The assignment is saved automatically
For communications:
- Open the communication (click it in the timeline, matrix, or schedule view)
- Find the Assignment Manager section in the communication details
- Click the Assign dropdown and select a team member
- The assignment is saved automatically
Note: If an item is already assigned to someone else, you'll need to remove that assignment first before assigning it to a new person. Only one person can be assigned to each campaign or communication at a time.
3. Viewing Your Assignments
The My Assignments page shows all your assigned work in one place. Access it from the sidebar navigation.
Assignment Cards
Each assignment appears as a card showing:
- The campaign or communication title
- The campaign color (if applicable)
- The assignment status
- The date range (for campaigns) or date (for communications)
- A progress status badge
Assignments are grouped by status:
- Received — newly assigned work
- In Progress — work you've started
- On Hold — work temporarily paused
- Complete — finished work
Filtering Completed Items
By default, completed assignments are shown. Toggle "Show completed" to hide them and focus on active work.
Opening Assigned Items
Click any assignment card to open the campaign or communication. This lets you view details, make edits, update status, and add comments.
4. Tracking Progress
Update assignment status to show where things stand. Status options help you and your team see progress at a glance.
Status Options
- Received — The assignment is new and not yet started
- In Progress — You're actively working on this item
- On Hold — Work is temporarily paused (waiting on information, resources, etc.)
- Complete — The work is finished
Each status has a color-coded badge for quick scanning.
Updating Status
You can update status in two places:
From the My Assignments page:
- Find the assignment card
- Click the status badge (it appears as a dropdown)
- Select the new status
- The status updates automatically
From the campaign or communication view:
- Open the assigned campaign or communication
- Find the Progress dropdown in the Assignment Manager section
- Select the new status
- The status updates automatically
Who can update status:
- The assigned team member can always update their own assignment status
- Team members with assignment management permissions can update any assignment status
Note: Status updates are saved immediately. Use clear, consistent statuses so your team can see progress accurately.
5. Managing Team Assignments (Team Leads)
If you have assignment management permissions, you can view and manage assignments for your entire team.
Viewing Team Member Assignments
- Go to the My Assignments page
- If you have team management permissions, you'll see a team member selector at the top
- Click the dropdown to select a team member
- Their assignments appear below
You can switch between team members to see everyone's workload and progress.
Reassigning Work
To change who an item is assigned to:
- Open the campaign or communication
- Find the Assignment Manager section
- Click the Assign dropdown
- Select a different team member
- The assignment updates automatically, and the new assignee receives a notification
Note: When you reassign an item, the previous assignee's assignment is removed. Only one person can be assigned to each campaign or communication at a time.
Removing Assignments
To remove an assignment entirely:
- Open the campaign or communication
- Find the Assignment Manager section
- Click the Assign dropdown
- Clear the selection (choose the empty option or remove the current assignee)
- The assignment is removed
Removing an assignment doesn't delete the campaign or communication—it just removes the assignment.
6. Notifications
When someone assigns work to you, you receive a notification. This helps you stay aware of new responsibilities.
Receiving Assignment Notifications
Notifications appear in your notification center (the bell icon in the top navigation). Assignment notifications include:
- Who assigned the work
- What was assigned (campaign or communication title)
- A link to view the assigned item
Accessing Assigned Items
Click an assignment notification to go directly to the assigned campaign or communication. This opens the item so you can review details, update status, and start working.
Note: You won't receive a notification if you assign work to yourself. Notifications are only sent when someone else assigns work to you.
7. Working with Assigned Items
When you're assigned to a campaign or communication, you can work with it just like any other item, with some helpful additions.
Visual Indicators
Assigned items show visual indicators:
- An assignment badge showing who is assigned (or "Assigned to: [Name]")
- A progress status badge (if progress tracking is enabled)
- Color-coded status indicators
These indicators appear in campaign views, communication modals, and throughout the app so you can quickly see assignment status.
Comments on Assigned Items
You can add comments to assigned campaigns and communications to collaborate with your team. Comments help you ask questions, share updates, and coordinate work. Look for the comment button (chat icon) on assigned items to start or view conversations. For more details about using comments, see the Comments documentation.
Editing Assigned Items
You can edit assigned campaigns and communications just like unassigned ones. The assignment doesn't restrict your ability to make changes—it simply tracks who is responsible for the work.
8. Best Practices
Follow these tips to get the most out of assignments:
Clear assignment practices:
- Assign work when you create it, or assign it as soon as you know who will handle it
- Use descriptive campaign and communication titles so assignees understand the work
- Assign at the campaign level for overall ownership, or at the communication level for specific tasks
Status update tips:
- Update status regularly so your team sees current progress
- Use "On Hold" when work is blocked or waiting on something
- Mark items "Complete" when finished so they can be filtered out of active views
Team coordination:
- Review team assignments regularly to balance workload
- Use comments to provide context and answer questions
- Communicate changes if you need to reassign work
Note: Remember that only one person can be assigned to each campaign or communication. If you need multiple people working on something, consider breaking it into separate communications or using comments to coordinate.
