Assignments

Delegate work and track progress across your team with assignments in the Communicate App.

Assignments

Delegate work and track progress across your team

Assignments help you distribute campaign and communication work to team members, track progress, and stay organized. When you assign a campaign or communication to someone, they receive a notification and can update their progress as they work.

Plan: Assignments (including progress tracking) are Plus only. They are not available on Essentials.

Roles: On Plus, the Assignments sidebar item and page are available to Owners, Admins, and Editors (roles with assignment access). Managers and Viewers do not get the Assignments page in the sidebar. See User Permissions and Roles.

1. Understanding Assignments

Assignments let you delegate campaigns and communications to team members. Each campaign or communication can be assigned to one person at a time, so responsibilities are clear.

What can be assigned:

  • Campaigns — assign an entire campaign to one team member
  • Communications — assign individual communications to team members

Who can create or change assignments:

  • Owners, Admins, and Editors can assign work (including to themselves)
  • Anyone on the team can be chosen as the assignee, even if they cannot open the Assignments page

When you assign an item, the assignee receives a notification (unless you assigned yourself). People with the Assignments page can view their work in one place and update progress as they go.

2. Creating Assignments

You can create assignments in several ways, depending on when you want to assign work. The Assign to / Assign: controls only appear on Plus for users who can assign.

When Creating a Campaign

  1. Click New in the sidebar (or New Campaign on the Campaigns page)
  2. Fill in campaign details (title, dates, color, etc.)
  3. In Assign to, choose (choose person)
  4. Create the campaign

The selected team member is assigned to the campaign and receives a notification.

When Creating a Communication

  1. Add a communication from the Calendar or Campaign Schedule
  2. In the creation modal, use Assign to and (choose person)
  3. Save

The selected team member is assigned to the communication and receives a notification.

Assigning Existing Items

For campaigns:

  1. Open the campaign page
  2. Use Assign: or Assigned: near the top
  3. Choose (choose person)
  4. The assignment saves automatically

For communications:

  1. Open the communication (Calendar or Campaign Schedule)
  2. In the footer row, use Assign: or Assigned: and (choose person)
  3. The assignment saves automatically

Reassigning: Pick a different person in the same control—the previous assignment is replaced automatically. You do not need to clear first. Only one person can be assigned at a time.

3. Viewing Your Assignments

Open Assignments from the sidebar (labeled Assignments, with a Beta badge). On Plus, this page shows assigned work in one place.

If the org is on Essentials (or assignments aren’t enabled), the page explains that Assignments are part of Plus and points you to billing to upgrade.

Layout

Work is shown in two columns:

  • Communications
  • Campaigns

Within each column, cards are grouped by progress status:

  • Received — newly assigned work
  • In Progress — work you've started
  • On Hold — work temporarily paused
  • Complete — finished work (often tucked under a show/hide control)

Assignment Cards

Each card shows:

  • A campaign- or channel-styled title pill
  • The date range (campaigns) or date (communications)
  • Progress status (dropdown or read-only)
  • Comment controls when comments are available on Plus

Filtering Completed Items

Use Show completed communications / Hide completed communications (and the matching campaigns control) to reveal or tuck away finished work.

Opening Assigned Items

  • Communications — click the card to open the communication modal
  • Campaigns — click through to the campaign page

From there you can view details, edit (per your role), update progress, and add comments.

4. Tracking Progress

Progress tracking is part of Assignments on Plus. Status options help you and your team see progress at a glance.

Status Options

  • Received — The assignment is new and not yet started
  • In Progress — You're actively working on this item
  • On Hold — Work is temporarily paused (waiting on information, resources, etc.)
  • Complete — The work is finished

Each status uses a color-coded control for quick scanning.

Updating Status

From the Assignments page:

  1. Find the assignment card
  2. Use the progress dropdown (Received, In Progress, On Hold, Complete)
  3. The status updates automatically

Completed items can show Complete (click to restore) — click to move back to On Hold.

From the campaign or communication view:

  1. Open the assigned campaign or communication
  2. Find the Progress: control next to Assign: / Assigned:
  3. Select the new status
  4. The status updates automatically

Who can update status:

  • The assignee can update their own progress (when they have assignment status permissions—Owners, Admins, and Editors)
  • Owners and Admins can update progress on any assignment

Note: Status updates save immediately. Use clear, consistent statuses so your team can see progress accurately.

5. Managing Team Assignments

If you can assign work (Owners, Admins, and Editors), you can switch whose board you’re viewing on the Assignments page.

Viewing Team Member Assignments

  1. Go to the Assignments page
  2. Use Viewing: and (choose person) at the top to pick a teammate
  3. Their assignments appear below

You can switch between team members to see everyone's workload and progress. The control appears when there is at least one other teammate.

Reassigning Work

  1. Open the campaign or communication
  2. Use Assign: / Assigned: and choose a different person
  3. The assignment updates automatically; the new assignee receives a notification

When you reassign, the previous assignee’s assignment is replaced. Only one person can be assigned at a time.

Removing Assignments

  1. Open the campaign or communication
  2. Clear the person in Assign: / Assigned: so it shows Unassigned

Removing an assignment doesn’t delete the campaign or communication—it only clears responsibility.

6. Notifications

When someone assigns work to you, you receive a notification in the bell icon in the top navigation. Assignment notifications typically include who assigned the work, what was assigned, and a way to open the item.

Click an assignment notification to go to the assigned campaign or communication (or your Assignments view, depending on the notification).

Note: You won’t receive a notification if you assign work to yourself.

7. Working with Assigned Items

Visual Indicators

Assigned items show:

  • Assign: / Assigned: with the person’s name (or Unassigned)
  • A Progress: control when progress tracking applies and you can change or view status

These appear on campaign pages, communication modals, and related views so responsibility is visible while you work.

Comments on Assigned Items

On Plus, you can add comments on campaigns and communications (including from assignment cards when commenting is enabled) to ask questions and share updates.

Editing Assigned Items

The assignment doesn’t by itself restrict editing rights—your role still controls what you can create, edit, or delete. Assignment simply tracks who is responsible.

8. Best Practices

Clear assignment practices:

  • Assign work when you create it, or as soon as you know who will handle it
  • Use clear campaign and communication titles so assignees understand the work
  • Assign at the campaign level for overall ownership, or at the communication level for specific tasks

Status update tips:

  • Update status regularly so your team sees current progress
  • Use On Hold when work is blocked
  • Mark items Complete when finished so they can be filtered out of active views

Team coordination:

  • Review teammates’ boards with Viewing: when you can assign
  • Use comments for context
  • Reassign promptly when ownership changes

Note: Only one person can be assigned to each campaign or communication. If multiple people need to collaborate, break work into separate communications or use comments to coordinate.
