What is an Assignment?

An assignment is a feature that allows you to delegate campaigns or communications to team members and track their progress.

What is an Assignment?

An assignment is a feature that allows you to delegate campaigns or communications to team members and track their progress. When you assign a campaign or communication to someone, they receive a notification and can update their progress as they work.

In the Communicate App, assignments help distribute work across your team, ensure accountability, and provide visibility into who is responsible for what. Each campaign or communication can be assigned to one person at a time, making responsibilities clear and avoiding confusion.

Why Do Assignments Matter for Church Communications?

Assignments matter because they enable effective team collaboration and accountability. In church communication teams, assignments help:

  • Distribute workload: Clearly assign work to team members based on their roles and capacity
  • Track progress: See at a glance what's being worked on and what's complete
  • Ensure accountability: Know who is responsible for each campaign or communication
  • Coordinate efforts: Prevent duplicate work and ensure nothing falls through the cracks

Without assignments, it can be unclear who is responsible for what, leading to missed deadlines, duplicate efforts, or work that never gets done. Assignments provide structure and clarity for team-based communication management.

How Do Assignments Work in Communicate?

In the Communicate App, assignments can be created when creating campaigns or communications, or added to existing items:

Creating Assignments:

  • When creating a new campaign or communication, select a team member from the "Assign" dropdown
  • For existing items, open the campaign or communication and use the Assignment Manager section
  • The assigned team member receives a notification

Viewing Assignments:

  • The "My Assignments" page shows all your assigned work
  • Assignments are grouped by status: Received, In Progress, On Hold, Complete
  • Each assignment card shows the title, campaign color, date range, and progress status

Tracking Progress:

  • Update assignment status to show where things stand
  • Status options: Received, In Progress, On Hold, Complete
  • Status can be updated from the My Assignments page or from the campaign/communication view

Managing Assignments:

  • Team members with assignment permissions can reassign work to different team members
  • Assignments can be removed entirely if needed
  • Only one person can be assigned to each campaign or communication at a time

When Should You Use Assignments?

Use assignments for:

  • Team delegation: When you need to distribute work across team members
  • Accountability: When you want to track who is responsible for specific campaigns or communications
  • Progress tracking: When you need visibility into what's being worked on
  • Workload management: When you want to balance work across your team

Assignments are especially valuable for churches with multiple team members managing communications, as they provide structure and clarity for collaborative work.

Frequently Asked Questions

Q: Can I assign a campaign or communication to multiple people?
A: No, each campaign or communication can only be assigned to one person at a time. If you need multiple people working on something, consider breaking it into separate communications or using comments to coordinate.

Q: What happens when I assign work to someone?
A: The assigned team member receives a notification. They can view the assignment in their "My Assignments" page and update their progress as they work.

Q: Can I reassign work to a different person?
A: Yes, if you have assignment management permissions, you can reassign work to a different team member. The new assignee receives a notification, and the previous assignment is removed.

Q: What are the different assignment statuses?
A: Status options include: Received (newly assigned), In Progress (actively working), On Hold (temporarily paused), and Complete (finished). Each status has a color-coded badge for quick scanning.

Q: Can I see all team members' assignments?
A: If you have team management permissions, you can view assignments for any team member using the team member selector on the My Assignments page. This helps you see workload distribution across your team.

A: No, assignments don't restrict editing permissions. They simply track who is responsible for the work. Anyone with appropriate permissions can still edit assigned items.
